Garage Booking & Cancellation Policy
This page explains our clear and fair garage booking cancellation policy for customers of Autodiag in Rugby. It sets out when deposits may be required, how bookings work, and what happens if plans need to change.
We do not normally take deposits
For most diagnostics and repair bookings, Autodiag does not require a deposit.
Payment is usually made when the work has been completed and the vehicle is collected, unless we agree otherwise in advance.
We simply ask that booked appointments are treated as a firm commitment so that workshop time is not lost.
When a deposit may be required
Although deposits are rare, there are occasions where one may be necessary — for example where:
- a part is very expensive
- a part is special order or non-returnable
- the manufacturer requires the item to be programmed to the vehicle
- the part must be ordered specifically for your vehicle
In these situations, we may ask for a deposit or payment for the part before ordering it. This will always be explained clearly first.
Special-order and dealer parts
Many genuine dealer or special-order parts are:
- non-returnable
- non-refundable
- only replaceable if faulty
Where a customer authorises work and parts are ordered on that basis, those parts become chargeable — even if the customer later decides not to proceed with the repair.
We will always make it clear when a part falls into this category before ordering.
Cancelling or changing an appointment
If you need to cancel or move your booking, please let us know as soon as possible — ideally with at least 24 hours’ notice.
The more notice we have, the easier it is for us to allocate the time to another customer.

Missed appointments and late cancellations
Workshop time is reserved specifically for your vehicle.
Where a vehicle is:
- not brought to the appointment,
- cancelled at very short notice, or
- repeatedly rebooked without being presented,
we may apply a reasonable charge to cover lost workshop time, especially where diagnostic time had been reserved.
We will always discuss this with you first and act fairly.
Vehicles not left with us after approval
Where work has been authorised and:
- parts have been ordered, or
- manufacturer access or preparation work has been carried out,
but the vehicle is then taken elsewhere without notice, any costs already incurred will remain chargeable.
Warranty-related bookings
If the booking relates to an after-market warranty claim, all normal booking rules still apply.
Diagnostic charges and repair costs remain the customer’s responsibility unless and until the warranty provider reimburses them.
Our approach
Our intention is not to penalise anyone — it is simply to ensure workshop time and parts ordering are handled fairly.
